Introduction: What It Really Takes to Plan a Seamless Destination Wedding in San Pedro, Belize
Planning a destination wedding in Belize can seem easy on the surface, especially with resort packages promising simplicity, but understanding the local wedding services is crucial. As many couples discover, if you want more than a template wedding, it takes careful planning, design, and expertise to pull off a wedding that feels like your day.
From our destination scouting process (covered in Part 2) to getting guests to the island (Part 3), this wedding at Alaia Belize was built on purpose and personalization, not just a default package. Here’s what really happens behind the scenes when you’re creating an experience, not just an event.
1. Designing a Wedding with Intention: Personalization Beyond the Package
Why Your Wedding Design Should Feel Like You, Not Just the Resort Venue
Belize, and Alaia Belize, offer standard packages designed for simplicity. However, simplicity doesnโt always equal personalization.
As a planner, I guide couples through creating a wedding that makes guests feel like theyโre arriving at your wedding, not just the resort. We start with a personalized design questionnaire that taps into your story and vision, then build a cohesive design reflecting your style. After reviewing the questionnaire with the couple, we deliver a detailed inspiration guide (typically twenty pages or more) that covers every decor and design element to review with the couple. Once the inspiration guide is reviewed with the couple, based on the feedback, a final design guide is created to share with vendors, and in this case, Alaia. Below is a snippet of a few of the inspiration images within the final guide.

This design was inspired by both trend and place. Around 2019 or 2020, disco balls made a nostalgic return to the event design landscape. Originally symbolic of 1970s dance culture, theyโve since become a favorite in modern weddings, often suspended above receptions and paired with florals. The trend peaked in 2024, and for this wedding, we embraced that festive spirit but added a twist: pairing disco balls with handcrafted Balizen rattan baskets, string lights, and floral elements. The result brought warm texture, sparkle, and a nod to Belizeโs rustic charm. The goal was to elevate while staying grounded.
Florals were arranged organically, with soft structure and a balance of color. Instead of polished, symmetrical installs, we leaned into arrangements full of life and motion, paired with woven fringe placemats, gold-rimmed chargers, and warm-toned cutlery to accent the natural tone of the destination.
Belize is inherently rustic. Rather than try to โpolish it away,โ we worked with it, blending thoughtful trends and modern elements into a design that felt immersive, intentional, and completely unique to the couple and their vision for their wedding day.
Belizeโs supply chain realities mean embracing the destination is key, especially when planning wedding services that reflect its unique charm. We blend locally available materials with intentional details, so your wedding feels elevated while remaining realistic about what’s feasible on the island. My role bridges the gap between resort limitations and your dream aesthetic.
Tip: Complimentary wedding packages are great for quick, simple ceremonies. If youโre looking for design intention or experiential elements, custom planning becomes a must.
2. Room Blocks & Guest Experience: Building a Wedding Community
How Room Blocks and Travel Planning Impact the Celebration
Room blocks go far beyond securing discounted rates. They help create a cohesive wedding atmosphere, especially in destinations like Belize. For this wedding, we blocked out the Reef House villas at Alaia, creating a central hub for guests to gather and connect.
By managing all travel logistics and room bookings, we kept the couple updated on guest counts, controlled the group experience, and unlocked extra group concessions. From the time guests booked until their arrival, everything was managed under one umbrella โ ensuring a consistent, high-touch experience.
Start Strong: Save the Date, Invitations & a Clear Wedding Website
A great guest experience starts well before departure. Save the dates, formal invitations, and a clear, well-organized wedding website create the first touchpoints that set the tone. For destination weddings, a thoughtfully built website is more than a formality; itโs an essential planning tool.
With the right formatting, your wedding website becomes the go-to hub for travel details, local information, packing lists, event schedules, and RSVP links. It reduces the volume of guest questions (and stress), keeping everyone informed and directed to your planner and travel agent when needed. This empowers your guests while protecting your bandwidth during the planning season.
Overshare details with your destination wedding guests. It leaves less of an opportunity for questions and confusion. These are a few of the many tabs taken from a few pages of this couple’s destination wedding website.
Guest Experience Highlights: Creating an Immersive Multi-Day Celebration that showcases the beauty of Belizeโs sandy beaches and vibrant culture.
This wasnโt just a wedding day โ it was a full guest experience that blended relaxation, celebration, and adventure. Exploring the island was a natural part of the experience, encouraging guests to soak in the destination, not just the resort.
Here’s what the celebration week looked like:
Arrival Day: Coordinated airport transfers with Alaiaโs team and personalized welcome communication ensured smooth arrivals.
Welcome Dinner: Guests enjoyed dinner together at Elviโs Kitchen, kicking off the week with authentic local flavors.
Next Day Pool Hangout: A casual pool day at Reef House gave guests time to unwind and naturally connect.
Welcome Cocktail Reception: Evening cocktails on the Vista Rooftop welcomed everyone in style, followed by dinner at leisure where guests explored island dining at their own pace.
Snorkeling Excursion: The next morning, guests were picked up directly from Alaiaโs pier for a half-day snorkeling tour of the Belize Barrier Reef, transferred via boat to a catamaran waiting in the ocean โ an unforgettable Belize highlight.
Rehearsal Dinner: That evening, the group came together again at Palapa Bar & Grill For a laid-back, fun rehearsal dinner, consider a beachfront venue that captures the essence of Belize.
Wedding Day: Thoughtfully designed ceremony, cocktail hour, and reception on property, complete with backup spaces prepared for weather shifts.
Recovery Day at Secret Beach: Post-wedding, we coordinated a full beach day with boat transfers, offering guests both relaxation and island exploration.
Departure Day: Organized group departures with personal touches ensured a smooth close to the week-long celebration.
This multi-day experience meant guests didnโt just attend a wedding; they created memories immersed in Belize, with a rhythm of celebration and downtime that honored both connection and relaxation.
Pro Insight: When travel planning is thoughtfully managed alongside the wedding services, it makes the entire experience smoother for both the couple and their guests. This approach minimizes last-minute surprises and allows the focus to stay on the celebration.
3. Vendor Selection in Belize: Knowing When to Customize and When to Outsource
Navigating Vendor Rules at Alaia Belize (Without Regrets)
Most Belize resorts, including Alaia, partner with preferred vendors who work on property regularly โ but they come with added fees and limited options. For services like floral basics, this works well. But for key moments โ photography, videography, or entertainment โ many couples choose to bring in their own creative team.
We helped this couple fly in their DJ from California, creating an unforgettable reception vibe that felt personal. By understanding the costs of outside vendor fees, flights, accommodation, and logistics, we helped them make informed decisions on when to use local vendors and when to invest in importing specialists.
Tip: Choosing the right vendors is about understanding your priorities. For the elements that will be captured in photos or that define the atmosphere of the day, it can be well worth bringing in a trusted professional who aligns with your style.
4. Expecting the Unexpected: Why Local Advocacy Matters
How We Navigated a Beach Rebuild and Kept the Couple Focused on Joy
Destination weddings come with local dynamics โ resort changes, supply limitations, and last-minute surprises. When Alaia began a beach rebuild during this coupleโs planning process, it was my responsibility to shield them from unnecessary stress, work through solutions with the resort, and ensure their experience was never compromised.
With ongoing coordination, alternative layouts, and direct vendor management, the couple was able to stay focused on the joy of their celebration while we handled the pivots, ensuring the event spaces were perfectly arranged for their beachfront wedding.
Real Wedding Lesson: While resort coordinators manage the resortโs priorities, having a planner who represents your interests ensures you always have a voice in the decision-making process โ especially when plans change unexpectedly.
5. Travel Logistics: How Seamless Arrival Shapes Guest Experience
Behind the Scenes of Group Travel Coordination
A cohesive guest experience starts the moment travel is booked, with attention to the details that showcase the stunning Caribbean landscape. For this celebration, we handled every detail of flight coordination, including weather-related adjustments during Hurricane Beryl, ensuring no guests were left behind.
From personalized travel guides to group arrival oversight, having a planner manage travel logistics made the journey part of the celebration โ not a stressor.
Along with final travel documents, guests also received a mobile-friendly guide that could be saved directly to their phones. This guide gave them quick access to every important wedding weekend detail โ including airport tips, event schedules, dress codes, transportation reminders, and more. (snippet below).
Planning Insight: Managing travel and wedding details together means your guests receive consistent, accurate information, and you avoid the common pitfalls that can derail destination weddings, like missed cutoffs, rebooking fees, or last-minute confusion.
